Answer A Call

How To Answer A Call
To answer a call:
1) If your phone is ringing lift handset and say “hello”

Call Hold

How To Use Call Hold
To put a call on hold:
while speaking to the caller:
1) press the hold button

To hang-up on someone who is on hold:
1) press the “Cancel” Button, and the last person who you put on hold will be dropped

To resume a call which has been put on hold:
1a) press the line button corresponding to the call you which to resume

or

1b) press the “Resume” Button and the last call you put on hold will resume

Call Transfer

How To Use Call Transfer

Attended Call Transfer
while speaking to the caller:
1) press the “Transfer” button
2) when you hear dial tone, call the party you would like to transfer the caller to (inside or outside)
3) speak to the person you are transferring the caller to
4a) when ready to connect the caller and the party you are transferring to, Hang-up… OR press the “Transfer” Button again
4b) if the party you were transferring to does NOT want to speak with the caller, press the “Cancel” button

Unattended Call Transfer
1) press the “Transfer” button
2) when you hear dial tone, call the party you would like to transfer the caller to (inside or outside)
3) Hang-up or press transfer immediately

Transfer Call Directly To Voice Mail
To transfer a call directly to voicemail:
While speaking to the caller:
1) press the “Transfer” button
2) when you hear dial tone, dial *7 + the extension number of the voicemail you would like to transfer them to
3) hang-up or press the “Transfer” button again

Call Transfer Directly to Voicemail

Transfer Call Directly To Voice Mail
To transfer a call directly to voicemail:
While speaking to the caller:
1) press the “Transfer” button
2) when you hear dial tone, dial *7 + the extension number of the voicemail you would like to transfer them to
3) hang-up or press the “Transfer” button again

Intercom

How To Use Intercom

1) Lift handset or press speakerphone
2) Dial the extension of the phone you want to speak with
3) When the person answers the phone start speaking

If the other person in on the phone depending on the phone settings the call may go to voice mail.

There are settings in the phone itself that will make this option work differently that described above but the above instructions will be accurate if NoContractVoIP.com programmed your phones.

Intercom (Voice Announce)

How To Use Voice Announce Intercom ( YeaLink Phones )

1) Lift handset or press speakerphone
2) Dial *4 + the extension of the phone you want to voice announce to
3) Start speaking

If the other person in on the phone they will get the option to let the call come thru or reject the call and send it to voice mail.

There are settings in the phone itself that will make this option work differently that described above but the above instructions will be accurate if NoContractVoIP.com programmed your phones.

Call Park (Dynamic)

How To Use Dynamic Call Park

while speaking to the caller:
1) press *789
( the caller will her you dial the *789 and then your music on hold )
2) the system will tell you the position of the park 601 – 625 ( depending on how many Call Park positions your company has )
3) you may then hang up the phone
4) then any other user on the system can dial that code and the call will come to their phone immediately

The caller must be picked up before 5 minutes ( default ) or the call will ring back to the phones that normally ring on incoming calls.

If more or less than 5 minutes is needed please let our support department know.

Call Park (Static)

How To Use Static Call Park

while speaking to the caller:
1) press the transfer button then *89 + the parking position, the caller will then hear your music on hold if you have it
2) you may then hang up the phone
4) then any other user on the system can dial that code and the call will come to their phone immediately

The caller must be picked up before 5 minutes ( default ) or the call will ring back to the phones that normally ring on incoming calls

If more or less than 5 minutes is needed please let our support department know.

Directed Call Pickup ( Answer another ringing phone )

How To Use Directed Call Pickup

1) Lift handset or press speakerphone
2) Dial *40 + the extension and press send of the ringing phone you want to answer
3) Start speaking

** This feature does not work in a ring group**

Transfer a call to any outside number (including cellular phones)

Transfer a call to any outside number (including cellular phones)

While talking to the first party:
1) Press “Transfer”
2) Call the # you want to transfer to
either:
a) Wait for the person you are transferring to to answer, and tell them about the calling party, then hang up to connect or press “Transfer” again to hang up on the person you were transferring to, and speak to the original party

or:

b) Hang up, (causing a “blind transfer” where the person you are transferring to has no knowledge about the person being transferred)

Call Conference / Three-Way Calling

How To Use Call Conference / Three-Way Calling
To start a conference:
While speaking to party A:
1) press the “Conference” button
2) when you hear dial tone, call party B
3) when party B answers, press the “Conference” button again

To end a conference call:
To terminate all parties:
1) Hang-up the phone

To terminate only 1 party:
1) press the “Split” Button, causing the 2 parties to be placed on hold separately
2) the caller ID of Caller B will be displayed, and you may press “Cancel” to terminate that call, or press “Resume” to speak with party B
3) if you terminated Party B, you will see Caller A’s Caller ID and you may Press “Cancel” to terminate them, or “Resume” to speak with them

Last Number Redial

How To Use Last Number Redial

1) Press LNR or RD or Redial button on phone and the last number you dialed will be dialed again

Music On Hold Methods

There are a couple of different ways we can set up your Music On Hold:

1) Restart play… the same file will restart at the beginning.

2) Random file play… Each time a caller is put on hold a different file will play

Custom Message On Hold

With a Custom Message On Hold a different message can be played for different departments or extensions… telling about policies and procedures or specials that might be offered.

We work with a professional Message On Hold company known as Captive Audience.

Captive Audience will produce your Message On Hold Ad’s freeing you from that “I Can’t Think Of What To Say” thing and get them put on our system.

Do Not Disturb

How To Use Do Not Disturb

1) Press DND button on phone and all calls to your extension will be sent to voice mail

Conference Rooms

How To Use Your Conference Rooms

1) Dial your conference room phone number
2) When prompted enter your I,D. Code
3) You will be prompted to your name followed by a #
4) Your presence will then be announced to the conference room
5) You will hear a beep then you are in the room

Can I use my phone at home?

Yes, your phone can be taken to a home, though you will need a power supply to power the phone (it is likely currently being powered by a piece of equipment in your offices that powers all the phones).

There is a chance that your home’s internet will not be able to support the phone, but this is determined on a case by case basis, and is typically just checked by attempting to plug the phone into the network and trying it out!

How do I forward my phones? Can I schedule my phones to forward automatically?

To forward an individual phone you can dial *72 followed by the extension or phone number you wish to forward to (if you forward to an outside phone number like a cell phone, and you dial the phone number in with 10 digits xxx xxx-xxxx any call that gets forwarded to the cell phone will show your office’s caller ID, if you forward to the cell phone using 11 digits in the pattern 1 xxx xxx-xxxx then any call forwarded to the cell phone will show the caller’s caller ID). When done dialing the forward on code the system will read back the number you forwarded to then say “Thank you” you must stay on the phone until it says “thank you” or else the system will assume you didn’t like the number it was reading back to you and NOT turn on forwarding. the system will also remember the last number you forwarded to and if you wish to forward to that same number again just dial *72, this will reforward to the same number as the number your phone was last forwarded to.

To unforward dial *73 at the phone you want to disable forwarding at.

You can also manage forwarding from inside of your voicemail box auto attendant, option 4 (for the forwarding menu), then 2 (to set the destination number), option 3 (to turn forwarding on or off), or option 4 to forward to the number you called into the voicemail box from.

You can also manage forwarding through access to the online portal. Here the forwarding options can be dealt with on an ad-hoc basis, on a weekly repeating schedule, or through a 1 time scheduled event starting and ending on a date/time of your choosing.

Yealink – How To Transfer

During a call, you can transfer the call to another contact.

You can use one of three ways:

Blind Transfer: Transfer a call directly to the third party without consulting.

Semi-Attended Transfer: Transfer a call when receiving ringback.

Attended Transfer (ConsultativeTransfer): Transfer a call with prior consulting.

Blind Transfer

  1. Press the TRANSFER key or Transfer during a call.
  2. Do one of the following:
    • Enter the number or select a contact from the placed call list you want to transfer to.
    • If you have set a Speed Dial key, you can also press the Speed Dial key to transfer the call to the contact directly.
    • Press Directory, Select the desired contact from the Directory list.
  3. Press BTransfer or the TRANSFER key to complete the transfer.

Tip: If you are using a handset, the transfer can be completed by hanging up the handset.

Semi-Attended/AttendedTransfer

  1. Press the TRANSFER key or select Transfer during a call.
  2. Do one of the following:
    • Enter the number or select a contact from the placed call list you want to transfer the call to.
    • Select Directory. Select the desired contact from the Directory list.
  3. Press the OK key or select Send.
  4. Do one of the following:
    • When you hear the ringback tone, press the TRANSFER key or Transfer to finish a semi-attended transfer.
    • After the contact answers the call, press the TRANSFER key or Transfer to finish an attended transfer (consultative transfer).

Tip: If you are using a handset, the transfer can be completed by hanging up the handset.

Yealink – How To Conference

  1. Place a call to the first party.
  2. Select Conference to place a new call. The active call is placed on hold.
  3. Dial the second party’s number. You can also select the desired contact from the search list, or select a contact from the placed call list or Directory before you enter the number.
  4. When the second party answers the call, select Conference to add the second party to the conference.
  5. Repeat the above steps to add more parties to the conference.

Merging Two Calls into a Conference

You can invite a held call into a conference call with the active call.

  1. Place two calls on the phone.
  2. Select the desired call for a conference and ensure that the call is active.
  3. Select Conference.
  4. Highlight the desired hold call and select Send.

Inviting a Transfer Target and a Transferee into a Conference

After consulting with the contact you want to transfer a call to, you can invite the two calls into a conference.

  1. Select Conference after talking with the contact you want to transfer a call to.

The transferee and the transfer target join the conference.
